Your garage's guide to Garage OS

Everything you need on day one: how the daily flow works, how to connect invoicing and payments, what your plan includes and what is an add-on.

The first 10 minutes

A few small settings, then the system works for you. The dashboard shows a “First steps” list that disappears by itself once everything is ticked.

Garage details (Settings)

The garage licence number and VAT number are printed on every invoice, as the regulations require. The labour rate must match the sign in your garage. Address, phone and email appear on documents and in the customer portal.

Logo and opening hours

The logo appears on tracking links and documents. Opening hours decide when customers can book an appointment from the portal.

The team

In Settings → Team you invite a staff member by mobile number. They sign in with a WhatsApp code, no email and no password. Staff see files and the floor; a manager also sees money and settings.

Import customers from your old system

An Excel or CSV file with name, phone, plate, make, model and year. A duplicate phone = the same customer. Your history is not lost.

Language

Each staff member picks their own working language (Hebrew, Arabic, Russian, English). Every customer has their own language, and messages to them go out in it.

The daily flow: from intake to invoice

A vehicle's normal path through the system. Every step updates the customer by itself.

1. Intake: the plate number, that's it

On the “Intake” screen you type the plate number. Make, model, year, colour, test date and recalls are pulled from the Ministry of Transport. Add the complaint, photos and damage level, and the customer gets a tracking link on WhatsApp.

2. Job card

For a service, inspection or regular repair you open a job card. For a vehicle arriving through insurance you open an insurance file (below). A job card has a status, timeline, photos, an intake form and digital inspection, parts, technician time and outside work.

3. Quote

Build a quote from labour and parts lines (or from a ready kit). Send it on WhatsApp, the customer approves with one tap, and the approval is written to the job card. The “Quotes” screen shows what is still waiting.

4. Work: floor and board

The “Floor” screen shows what is in progress and what is ready; change a status with one tap. The “Board” is made for a TV in the garage. Every status change goes out to the customer on WhatsApp in their language.

5. Parts from the warehouse

From the job card you issue parts from stock (“Issue parts”). The quantity leaves the shelf, cost and price are written to the card, and a part that was issued but not quoted is flagged so it is not forgotten.

6. Delivery, invoice and payment

At the end you mark “Delivered”. From the job card you issue a tax invoice-receipt through the garage's own invoicing software (see below), record how it was paid, and the customer gets a short survey and a link to review you on Google.

Appointments and reminders

“Appointments” runs the diary; the booking confirmation, the day-before reminder, test and periodic-service reminders go out by themselves. Customers can book from the portal.

Insurance files (body and paint)

An insurance file manages an estimate with part numbers and part types, an appraiser link to view photos and the estimate, the insurer's 30-day clocks, supplements, a compliant invoice and insurer payment tracking. “Money” gathers who owes what and what is overdue.

Talking to customers

WhatsApp in the customer's language

Status updates, quotes, reminders and surveys go out automatically in Hebrew, Arabic, Russian or English, per customer. The “WhatsApp” screen shows every conversation with automatic translation.

Which number do messages come from?

By default, the Garage OS number. If the garage has its own WhatsApp Business API number (through Meta), enter it in Settings and messages go out from it. With no channel configured, the buttons open WhatsApp on your phone.

Customer portal

The customer signs in at garage-os.co.il/my with their mobile number and a one-time code, no password: vehicle status, history, quote approval, reporting a fault with photos and booking.

Tracking link

Every job card gets a personal tracking link that is sent to the customer. They see status, photos and documents without calling.

Survey and Google review

After delivery a short survey goes out. A happy customer is sent to your Google review link (set in Settings); an unhappy one reaches you first.

Invoices, payments and the till

Invoices are issued from the garage's own invoicing software, in the garage's name and numbering. Garage OS sends the details and keeps a copy in the file.

Connecting the invoicing software (morning / Green Invoice)

1) Sign in to the garage's morning account (no account? Open one in the garage's name at greeninvoice.co.il). 2) Settings → Developer tools → API keys → Add key. 3) In Garage OS: Settings → Invoices, paste the ID and secret and press “Connect”. Only a garage manager can connect.

Issuing a tax invoice-receipt

From the job card, once there is an approved quote: pick how it was paid (card, cash, transfer, Bit, cheque) and press “Paid, issue invoice”. The document is sent to the customer and kept in the file. Mistake? Issue a credit invoice from the same place.

Payment link

If card clearing is set up in the morning account, the invoice goes out with a pay-by-card link. Clearing itself is between the garage and its payment provider.

Counter sales and customer ledger

Selling a part or product without a job card is done in “Counter sales”. The customer card has a ledger: what was charged, what was paid, what is open.

Daily till

“Daily till” totals the day's cash, cards and transfers, records bank deposits and closes the day with a count.

Money and reports

“Money” gathers customer debts and overdue insurer payments. “Reports” shows workload, revenue and profitability, with export to Excel.

Parts warehouse

Items and stock

Every part has an SKU, barcode, shelf location, cost and price, and a minimum for alerts. When stock drops below the minimum, an alert appears on the dashboard.

Receiving from a supplier and issuing

A goods receipt raises stock; issuing to a job card lowers it. Delivery notes and returns close the loop. Every movement is recorded with who and when.

Purchase orders

From the items below minimum you build a purchase order for the supplier, send it, and when the goods arrive you receive them from the order with one tap.

Barcodes and serial numbers

Print barcode labels for items and shelves. For expensive parts, track a serial number per unit, so you know exactly which unit went into which vehicle.

Stock count

A printable count sheet, then the differences are updated in the system.

Kits and labour guides

A kit = a ready job (parts + hours) that drops into a quote with one tap. A labour guide = how long an operation takes per make and model, so the quote comes out right.

Team, time and control

Time clock and time on a job

A technician starts and stops time on a job card. “Technician time” shows who worked on what, and hours sold versus hours worked.

Outside work (sublets)

Work sent to a contractor (frame straightening, glass, upholstery) is recorded with cost and price and shows on the job card and in profitability.

Courtesy cars

Track loan cars: who took one, when it comes back.

Global search

Customer, vehicle or file: a name in any language, a phone number or a plate.

Morning digest by email

Every morning the garage email gets a short digest: what is waiting for approval, what to invoice, who is overdue, and what is low in stock.

External services (not through us)

  • The garage's invoicing software (morning): a subscription directly with them.
  • Card clearing: the agreement between the garage and its payment provider.
  • Your own WhatsApp Business number (Meta / Twilio): usage is billed directly by the provider.
  • AI: included up to the plan's quota, or with your own API key, in which case the AI provider bills you.
